BOOKING, DEPOSIT & CANCELLATION POLICY

Ha Giang Vision Tour

These Terms and Conditions outline the policies regarding booking, payments, cancellations, refunds, and participation in tours organized by Ha Giang Vision. By booking a tour with us, you acknowledge that you have read, understood, and agreed to the following terms.

1. Booking & Deposit Policy

1.1 Deposit Requirement

To secure your booking, a deposit of 1,000,000 VND per person is required.

This deposit is mandatory to confirm your reservation.

The deposit allows Ha Giang Vision to:

Reserve your spot in the tour group
Arrange transportation, accommodation, and guides
Prepare necessary services for the trip

1.2 Booking Confirmation

Once the deposit has been received:

Your booking will be officially confirmed
You will receive a confirmation email and invoice

The remaining balance must be paid upon check-in at the Ha Giang Vision office before the tour begins.

1.3 Bus Transportation

Bus services to Ha Giang may vary depending on:

Vehicle availability
Daily operating schedules
Seat availability

While we aim to provide the most suitable transportation, specific vehicle types or seat positions cannot be guaranteed.

2. Non-Refundable Deposit Policy

The deposit is considered a reservation and operational fee, therefore:

Deposits are non-refundable under any circumstances.

This includes but is not limited to:

Personal travel plan changes
Missed flights or buses
Late arrival at the departure point
Personal health issues
Visa or documentation problems
Failure to arrive for the tour

3. Tour Cancellation Policy

3.1 Bookings with Deposit Only

If a guest cancels a booking after paying the deposit:

Ha Giang Vision reserves the right to retain the full deposit amount.

The deposit will not be refunded.

3.2 Bookings Paid 100% via Website

For bookings paid in full through the website, the following cancellation policy applies:

Cancellation 7 days or more before departure

100% refund of the total booking value

Cancellation between 5–7 days before departure

50% refund of the total booking value

Cancellation less than 4 days before departure

No refund

After the tour has started

No refund will be provided in any case, including:

Guests changing their personal travel plans
Guests shortening the tour duration
(for example: leaving a 4-day tour after 3 days)

4. Tour Date Changes

In some situations, Ha Giang Vision may allow rescheduling of the tour date.

Conditions:

Requests must be submitted via email or WhatsApp
Changes must be confirmed by Ha Giang Vision

Rescheduling depends on:

Tour availability
Operational conditions

Ha Giang Vision does not guarantee that all rescheduling requests will be accepted.

5. Failure to Pay Deposit

If the deposit is not paid within the specified timeframe:

The booking may be automatically cancelled
The reserved spot may be offered to other guests

Ha Giang Vision is not obligated to hold reservations without receiving the deposit.

6. Tour Services Included

The tour price typically includes the services listed in the tour program, such as:

Motorbike or car transportation according to the itinerary
Local tour guide
Accommodation (hostel or homestay)
Meals specified in the itinerary
Entrance tickets to attractions included in the tour
Operational support throughout the journey

7. Services Not Included

The tour price does not include:

Drinks at bars or restaurants
Meals not listed in the itinerary
Personal shopping expenses
Tips for guides or drivers
Activities outside the tour program

Guests are responsible for paying these additional costs.

8. Guest Responsibilities

All tour participants are required to:

Follow the instructions of the tour guide
Respect local laws and traffic regulations
Respect local culture and communities

Guests are responsible for:

Their personal belongings
Their personal behavior during the tour

Ha Giang Vision is not responsible for loss or damage of personal property.

9. Leaving the Tour Early

If a guest:

Leaves the group without informing the operator
Leaves the vehicle or tour group during the trip
Chooses to return earlier than scheduled

Then:

Ha Giang Vision is not responsible for any additional expenses
No refunds will be provided for unused services

The guest will be considered to have voluntarily terminated the tour service.

10. Changes to Tour Itinerary

In certain situations beyond our control, including:

Severe weather conditions
Road conditions
Government regulations
Traffic incidents

Ha Giang Vision reserves the right to modify the itinerary to ensure the safety of participants.

Such changes do not qualify for refunds.

11. Weather Conditions

The tour depends on weather conditions.

If the tour cannot operate due to unsafe weather conditions, Ha Giang Vision may offer:

Rescheduling to another date
or
A full refund (100%)

The final decision regarding safety cancellations will be made by Ha Giang Vision.

12. Force Majeure

Force majeure events include but are not limited to:

Natural disasters
Floods or landslides
Epidemics or pandemics
Government regulations
Events beyond the company's control

In such cases, Ha Giang Vision reserves the right to:

Postpone the tour
Modify the itinerary
Arrange an alternative departure date

13. Photos & Media

During the tour, Ha Giang Vision may take:

Photos
Videos

These may be used for:

Marketing purposes
Website and social media promotion

If you do not wish to appear in promotional materials, please inform us in advance.

14. Policy Updates

Ha Giang Vision reserves the right to update or modify these terms and conditions at any time.

Any updates will be published on our official platforms.
